Can AI truly make the right choices? Therefore, before integrating any AI tools into a business, it is essential to understand their limitations and principles of proper use. What is responsible use of AI?

In essence, the responsible use of AI means integrating AI applications into a business in a way that maximizes its benefits for people and society while minimizing any negative impacts. Responsible AI is a broad concept encompassing several aspects, such as fairness, reliability, data security, equality, transparency, accountability, technical robustness, and environmental and societal impact. At Youpret, key aspects include data security, which is fundamental to our operational philosophy, as well as transparency and equality, which align with our vision and values.


Data security

We handle over a thousand interpretation assignments daily, processing a significant amount of personal data for tasks such as orders and invoicing. Ensuring the secure handling of this data is critically important to us. When AI tools are introduced into operations involving personal data, the significance of data security becomes even more pronounced. Data security is primarily governed by regulations like GDPR and the AI Act, but what do these mean in practice?

Data security begins even before the data is processed by AI. During data collection, it’s important to consider which information is essential for the service. If personal data must be collected, it is crucial to ensure that all files containing such data are properly protected and do not fall into the hands of unauthorized individuals, especially those outside the company.

Unfortunately, in the era of AI, data breaches and phishing are more common than ever, making data security more critical than before. Breaches can occur inadvertently through openly accessible AI-powered chatbots, as users are not clearly told what information is stored or how it is processed. Popular chatbots include ChatGPT, Microsoft Copilot, and Google Gemini.

AI has also made phishing easier. For example, it can be used to make scam phone calls mimicking a colleague’s voice or to craft convincing messages in virtually any language.

One key method for safeguarding data is limiting access to sensitive information, ensuring it doesn’t inadvertently end up outside the company via AI tools or phishing.

In addition to access control, staff must be trained in proper use of AI tools. Different departments may use various AI tools, so it’s crucial that everyone receives training tailored to the tools relevant to their roles.

Data security must also extend to the information generated by AI tools. These tools often produce significantly larger volumes of data than conventional digital tools, and securely storing such volumes can be challenging. One solution is to use established third-party platforms that already have built-in encryption mechanisms to protect data during transfer, processing, and storage.

Transparency can be promoted, for example, by documenting the data and processes used by AI to ensure traceability, which, then, ensures explainability of the system’s operation. This means that developers are able to understand how AI arrived at specific decisions by viewing the processed data and what has been done to it. A traceable and explainable AI tool allows the developers to evaluate data quality and facilitates improvements to the tools in areas like security or accuracy, fostering trust in AI.


Equality

At Youpret, we aim to make the world more equitable. In line with our vision, language should never be a barrier to understanding one another, nor should anyone face discrimination based on any other personal characteristics.

Surprisingly, even AI can engage in discrimination. Regardless of its purpose, AI should handle all data equitably. This becomes especially important when AI processes personal data, such as in customer service or recruitment. For instance, imagine AI is used to screen hundreds of job applications and it begins favoring candidates only from a specific ethnic background.

Such scenarios must never become reality. In recruitment, for example, AI must be trained to disregard all unrelated non-professional factors when suggesting suitable candidates. Of course, the same principle applies to any other application where AI makes decisions or suggestions based on personal data.



All aspects must be considered to facilitate AI responsibility

The above recruitment example highlights that the different aspects of responsible AI cannot be addressed in isolation. Instead, they must all be considered when designing AI tools for business use. In this case, the connection between transparency and equality is evident—it’s easier to program AI to treat all data fairly when its processes and data usage are transparent. Ultimately, the primary guideline for responsible use of AI is to remember that it is merely a tool—albeit an advanced one. It should never operate entirely autonomously, and humans must always have the final decision-making authority.
